How to Better Understand Your Workforce’s Productivity & Efficiency

Last Updated January 12, 2025 By Subhash D Leave a Comment

As a business owner, you must understand how your business is performing at all times. Your employee’s productivity and efficiency in their roles in the company are crucial to your business’s continued success. Monitoring your employee’s performance in the workplace will allow you to make changes where needed, provide additional training if necessary, and streamline your business processes.

There is a wide selection of different tools, technologies, and business software packages that you can use to monitor the performance of your workforce. You can try using a timesheet app to monitor hours worked and compare this to the amount of work an employee is completing during these hours. Email monitoring software allows you to see how many emails an employee receives and sends in a particular time frame, which can be a key performance indicator in many businesses. Or, you can trust our employees to self-report and keep you up-to-date regarding how they are performing in their roles. With so many different options available to measure productivity and efficiency, you must take the time to choose a solution that will meet the unique needs of your business.

Let’s take a look at a few simple strategies you can use to better understand how efficient and productive your workforce is.

Hours Worked Vs. Work Completed

One of the most straightforward to learn just how productive an employee is in their role is to compare the hours they have worked to the work they have completed. For example, if one employee makes twenty sales calls in an hour and another only makes five, this is a clear sign that they are not using their time efficiently and are failing to be productive.

As an employer, this allows you to speak with the employee to find out what is going on and if there is anything that can be done to help them in their role. While in some cases, the employee might be lazy, in others they may be going through something difficult outside of work that is distracting them from their work, so it’s important to tread carefully.

Tracking Emails Sent And Received

In many businesses nowadays, an employee’s productivity and efficiency in the workplace can be directly linked to the number of emails they send and receive each day. If an employee is working hard, communicating with other team members, customers, potential leads, suppliers, and other entities connected to your business, this will be reflected in their emails.

There are many different email monitoring software packages that you can choose from to keep tabs on your employee’s email activity. Many of these applications come with additional functionality and reporting options that you might not need, so be sure to take the time to find a solution that meets your needs.

Trust Your Employees With Self-Reporting

For smaller businesses with fewer employees, self-reporting can be a more effective method of monitoring productivity than you might think. The key for this to succeed is you need to fully trust your team. At the end of each day or week, employees will need to report to you what they are working on, what project milestones they completed that day, how busy they feel in their role, and if they feel they could take on extra work or responsibilities. Empowering your employees and allowing for self-reporting can be a great way of building a positive and accountable workplace culture in your business. However, this solution will not work for every business type and you must have a trusting relationship with your team for it to be effective.

Find A System To Monitor Your Workforce’s Productivity That Works For You

There are countless strategies, tools, and software applications that you can use to better understand your workforce’s productivity and efficiency. As every business is different, you need to understand what key performance indicators best apply to your employees and find a system that will allow you to monitor these stats accurately. Putting the right system in place, you can ensure that your team is as productive and efficient as possible and that you move towards your targets with confidence.
