Microsoft Outlook can be configured as a centralized email client interface to receive emails from other webmail services like Gmail, Yahoo, Hotmail, etc. It saves you from the hassles of switching between different webmail services to manage your daily communications. In this article, I will share with you how to add Gmail to outlook 2016. You can follow the same procedure in setting up Gmail in previous versions of outlook 2013, 2010, and 2007.
Gmail outlook Settings
Before configuring outlook to send and receive Gmail emails, you have to enable mail protocols from your Gmail account. Most users forget this important setting in their Gmail account and straightaway begin the process of Gmail setup in outlook.
- So, first, log in to your Gmail account and follow the next steps.
- Open Settings and navigate to Forwarding and POP/IMAP.
- In POP Download options. Select “Enable POP for mail that arrives from now on”.
- Save changes at the bottom of the screen and restart Gmail.
Instructions to Setup Gmail in Outlook 2016
You can use one of these two protocols- IMAP or POP3, to configure Gmail in outlook. I will show you both the settings.
Gmail POP3 Settings
Step-1. Open Microsoft outlook. Go to File> Add new Account
Step-2. Here you will get two options. Select the second option at the bottom which says “Manual Setup or Additional Server Types”
Step-3. On the next screen, choose the second option “POP or IMAP’
Step-4. Next is the mail server settings. Under the user information, Fill in Your name that should appear when someone receives your email. In the email address fill your current Gmail ID.
Step-5. In Server information select POP3 as Account Type, fill pop.gmail.com in the incoming mail server, and in the outgoing mail server(SMTP), type smtp.gmail.com
Step-6. In Logon Information, type your Gmail address and a strong password.
Step-7. Now move to More Settings.
Step-8. In internet email settings, open the Outgoing Server tab and tick My outgoing server requires authentication.
Step-9. In the Advanced tab, input 995 as Incoming Server(POP3) and 465 as Outgoing Server. Also, make sure that the “This server requires an encrypted connection(SSL)” option is checked.
Step-10. That’s it. Click OK to save these settings.
Gmail IMAP Settings
You need to enable the IMAP protocol in your Gmail account so again open your Gmail account. You need to follow the same steps as before but this time you need to enable IMAP instead of POP.
In Outlook, you need to repeat steps 1 and 2 and in step 3, you have to select IMAP. The mail server settings will be:
Incoming Mail(IMAP) Server: imap.gmail.com
Outgoing Mail(SMPTP) Server: smtp.gmail.com
Steps 6,7, and 8 will be the same as in POP3 settings but in More settings>Advanced, you just need to change the Server port number for Incoming Server (IMAP) to 993.
If you want to sync Gmail with outlook on multiple devices, then the IMAP setting is recommended. If you want to download Gmail messages at a single location, prefer POP settings. Following error is coming, while i configure my gmail to outlook as pop3..please resolve..password and username is correct am giving..but message is coming like below
Log onto incoming mail server (POP3): Your email server rejected your login. Verify your user name and password for this account in Account Settings. The server responded: -ERR [AUTH] Username and password not accepted.
Send test email message: Your email server rejected your login. Verify your user name and password for this account in Account Settings.

go to gmail settings then security. under the security you will find the “LESS SECURE APPS”
turn in off then save.
